Position summary: The Executive Assistant provides administrative support to the Division Director of Facility Operations and works in cooperation with the division’s directors, managers, and supervisors. Further, the Executive Assistant works integrally with various Agency departments, including but not limited to Information Technology and Finance, to further the department’s and Agency’s goals.

Responsibilities Include:

  • Provide administrative support to the Director of Facilities, including ordering supplies, completing Purchase Orders, completing Contract and Grant applications, and meeting with contractors and vendors.
  • Responsible for ordering facility related supplies and furniture across the Agency and affiliates, including basic items needed for new start-up locations.
  • Coordination of furniture installs and deliveries with all relevant parties.
  • Process invoices and reconcile credit card statements. Submit check requests to Finance Department as required.
  • Prepare Contract Requests as need in collaboration with Legal Department.
  • Prepare presentations and other documents for necessary meetings and take meeting notes.
  • Other duties as assigned

Qualifications:

  • Bachelor’s degree is preferred; or equivalent combination of education and work experience with a High School Diploma.
  • Excellent communication skills, especially in working with diverse populations from various backgrounds.
  • Self-motivated with good independent judgement and initiative, as well as problem solving skills.
  • Ability to learn and use agency computer systems and software.
  • 5 years of experience with coding, data entry, procurement, and working with contractors
  • Must have understanding of tool and equipment names and functions, including for home maintenance.

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekends as needed
